Lead Actions

Lead Actions help your team update, manage, and communicate with multiple leads more efficiently.

Export

Use Export when you need to download lead data from evvo for reporting, sharing, or additional review outside the app.

Field update

Use Field update when you want to update a specific field for one or many leads more quickly.

This is useful when your team needs to apply the same change across multiple records instead of opening each lead one by one.

Create activity

Use Create activity to add an activity for selected leads.

This helps your team plan follow-ups, assign work, and make sure important next steps are not missed.

Mass Email

Use Mass Email when you want to send the same email communication to multiple leads at once.

This is useful for announcements, campaign outreach, reminders, and other messages that need to reach a larger group of families.

How Mass Email works

  1. From the leads list, filter the leads you want to contact.
  2. Open Actions and select Mass Email.
  3. Review the selection table and refine the list if needed.
  4. Choose the From email.
  5. Click Proceed to compose the message.
  6. Click Send when the email is ready.

The first step is the selection screen. This screen shows the leads included in the action and allows you to remove any leads that should not receive the email.

Selection works at the lead level, but the final recipient list is built from the email addresses of the contacts related to those leads. This means the email is sent to the relevant contact emails connected to each selected lead.

On the same screen, you can choose the From email. This can be a synced Google or Office 365 email account. A predefined generic email address for mass email sending will also be supported in a future update.

Compose the email

After you click Proceed, you move to the compose email step.

You can write the email from scratch or load an existing email template. Attachments are also supported, so you can include files that need to be sent with the message.

You can also use placeholders in the email content. Placeholders represent data stored in evvo, such as contact or lead information. Before sending, the email engine automatically replaces each placeholder with the matching data for the specific contact.

Email validation

The Email Validation section checks placeholders before the email is sent.

When your email uses field placeholders, validation checks whether the selected leads and their related contacts have the data needed for those placeholders. If a value is missing, evvo shows a warning icon and the number of selected records missing that data.

You can still continue and send the email, or you can go back, update the lead selection, and perform the mass email action again.

Sending the email

After clicking Send, a loading animation and message are displayed while the emails are being processed.

When sending is complete, a success message is displayed. The sending process should not take more than a minute.
